You can probably picture the wedding already. Your closest people arrive at a beautiful property, the first evening turns into a long dinner, and the celebrations unfold without anyone having to rush home.
Then the proposals arrive.
One hotel quotes for rooms and meals. Another offers a wedding package with “basic décor.” A third has a higher price but includes the spaces you need for every function. Suddenly, choosing the wedding feels less like imagining a celebration and more like solving a puzzle.
The best way to compare destination wedding packages in India is to give every supplier the same brief: dates, guests, rooms, nights, functions and service requirements. Then compare the complete cost of that celebration.
This guide explains what to check, how to spot gaps and how to choose a package that works for the people attending your wedding.

What Is Included in a Destination Wedding Package?
A destination wedding package bundles an agreed set of services into one proposal. Depending on the supplier, it might cover accommodation and food, venue hire, décor, planning or several of these together.
The word “package” does not establish what is included. The written schedule of services does.
For example, Umaid Palace’s wedding FAQ describes packages covering accommodation and meals, with décor, sound and lighting handled through third-party vendors. Four Seasons Hotel Bengaluru’s wedding package lists selected couple benefits, dining and event services. Those inclusions should not be read as accommodation for the entire guest list.
These are examples of different package structures, not comparable offers or recommendations for particular dates. Request current terms directly for your proposed wedding.
Start by identifying what you are actually buying:
| Proposal type | What to establish |
|---|---|
| Hotel or resort package | Rooms, meals, named function spaces and the hotel services included |
| Wedding planner package | Planning responsibilities, supplier coordination, hospitality and execution team |
| Décor and production package | Designs, materials, furniture, sound, lighting, installation and technical crew |
| Combined wedding proposal | Which services are consolidated, who supplies them and which expenses remain separate |

Start With the Wedding You Want to Experience
Before comparing prices, describe how you want the days to feel.
Perhaps you want an intimate celebration where everyone stays together and there is time for breakfast with family. Perhaps your priority is a spectacular sangeet, followed by a quieter ceremony the next morning. Or you may need a comfortable base for relatives travelling from several countries.
Write down three priorities. They might be:
- Keeping your immediate family at one property
- A ceremony setting you love, with a suitable indoor alternative
- Excellent food and enough time to enjoy it
Then identify the practical requirements: guest accessibility, room availability, travel connections, ceremony arrangements and your total spending limit.
A proposal becomes much easier to judge when you know which parts of the experience matter most.
Destination Wedding Packages for 100 Guests: Define the Numbers First
“100 guests” can mean several different things. It may refer to the wedding dinner, everyone staying overnight, or the largest attendance across all functions.
These figures need separate lines in your brief.
Guest Count Is Different From Room Count
For a simplified example, assume 100 adults have agreed to share as 50 pairs and all stay for two nights:
50 rooms × 2 nights = 100 room nights.
That is an accommodation requirement, not a complete rooming plan. Separate rooms for the couple, single occupancy, families, early arrivals and crew may change it.
If the assumed room rate were ₹8,000 per room per night, those 100 room nights would cost ₹8 lakh before any additional charges. This is an arithmetic example using an invented rate, not a hotel quote or market average.
Ask whether breakfast, extra beds and occupancy-related meals are included before calculating the remaining food budget.
Count Attendance for Each Meal
A useful starting schedule might look like this:
| Service | Illustrative guest count | What to check |
|---|---|---|
| Arrival-day lunch | 60 | How many people arrive before lunch ends? |
| Welcome dinner | 100 | Are any local relatives joining? |
| Second-day breakfast | 100 | Is it included in the room plan? |
| Wedding-day lunch | 100 | Are crew meals separate? |
| Wedding dinner | 130 | Does the count include 30 additional day guests? |
| Departure breakfast | 100 | Will early departures need a different arrangement? |
This example has 100 residential guests but a wedding dinner for 130. A single “per-person wedding package” needs to explain how that difference is billed.
The Package Checklist: What to Confirm in Writing
Use the following table while reviewing proposals. Mark each item as included, excluded or awaiting confirmation.
| Area | Details your proposal should identify |
|---|---|
| Accommodation | Room categories, rooms per night, occupancy, meals, arrival and departure dates |
| Function spaces | Named venues, access hours, setup windows and exclusivity |
| Catering | Menus, service times, guest guarantees and additional-person rates |
| Décor | Function-specific designs, quantities, materials, furniture and installation |
| Production | Sound, lighting, screens, power arrangements and technicians |
| Guest hospitality | RSVP support, rooming lists, help desk and luggage coordination |
| Transport | Routes, vehicle types, trips, waiting time and coordinator |
| Photography | Team coverage, hours, deliverables and delivery schedule |
| Entertainment | Performer or DJ scope and supporting requirements |
| Planning | Preparation work, event team, functions covered and working hours |
| Weather alternative | Reserved space, usable capacity, access and changeover arrangements |
| Other charges | Taxes, approved extras, vendor charges and overtime |
An unanswered item should remain visible. A blank cell is not a zero-cost inclusion.
Ask What “Basic Décor” Actually Means
Request photographs or drawings of the proposed setup and a list of included elements.
Does the quotation cover the ceremony, mehendi and sangeet separately? Which flowers and furniture are included? Are guest tables styled? Does the stage image show the lighting you are buying, or only a design reference?
Approve a defined scope before upgrading it. This gives you a clear basis for deciding which additions are worth paying for.
How Much Do Destination Wedding Packages Cost?
A useful quotation needs a destination, dates and an agreed scope. Without those details, a headline package price cannot tell you what your wedding will cost.
Build the comparison around this calculation:
Complete event budget = quoted package + required exclusions + approved upgrades + applicable taxes + contingency.
Personal purchases, jewellery, clothing, guest travel and other family expenses should be listed separately if they sit outside the event budget.
Worked Example: Comparing Two Wedding Proposals
Imagine two hypothetical proposals for the same celebration: 100 residential guests, 50 rooms for two nights and three functions.
The following amounts are invented to demonstrate comparison. They are not hotel prices, Events Cookie offers or market estimates.
| Expense for the same agreed scope | Proposal A | Proposal B |
|---|---|---|
| Quoted accommodation, meals and venue package | ₹16,00,000 | ₹19,00,000 |
| Additional function-space hire | ₹1,50,000 | Included |
| Agreed décor | ₹4,00,000 | ₹3,00,000 |
| Required sound and lighting | ₹1,50,000 | ₹1,50,000 |
| Guest transfers | ₹1,00,000 | ₹1,00,000 |
| Planning and hospitality team | ₹2,00,000 | ₹2,00,000 |
| Photography and films | ₹1,50,000 | ₹1,50,000 |
| DJ or agreed entertainment | ₹50,000 | ₹50,000 |
| Crew stay and meals | ₹50,000 | ₹50,000 |
| Identified operational extras | ₹50,000 | Included |
| Subtotal before taxes and contingency | ₹29,00,000 | ₹29,00,000 |
| Illustrative contingency at 10% | ₹2,90,000 | ₹2,90,000 |
| Planning total before applicable taxes | ₹31,90,000 | ₹31,90,000 |
The lower headline price produces the same total after the missing services are added.
In a real comparison, also examine room categories, menus, décor quality, travel effort and cancellation terms. Equal totals do not necessarily mean equal value.
The 10% reserve here is simply an assumption for the example. Set your own reserve according to the uncertainties remaining in the plan. It should not replace budgeting for known expenses.

Seven Details That Can Change the Final Bill
1. Minimum Room and Meal Commitments
Ask how many rooms and meals you must pay for, when those numbers become final and what happens if fewer guests attend.
Also establish how additional guests will be charged. Keep your latest attendance forecast separate from the contractual minimum.
2. Early Arrivals and Late Departures
A two-night stay may not cover relatives arriving the evening before everyone else. Flights can also leave a gap between check-out and departure.
Price extra nights, holding rooms, luggage storage and departure meals where needed. Confirm early check-in arrangements rather than relying on a request.
3. Setup and Dismantling Access
Your décor team may need access before the first guest arrives. Ask whether the quoted venue hours allow enough installation, testing and removal time.
A beautifully designed sangeet is difficult to deliver if the same ballroom is occupied until shortly before your function.
4. Vendor and Equipment Charges
Ask about outside-vendor access, loading arrangements, power, generators and equipment storage. Establish which supplier pays each charge.
If two quotations include the same expense, remove the duplicate after confirming responsibility.
5. Outdoor Backup
Visit the backup room with your full layout in mind: guests, ceremony or stage, dining and clear routes through the space.
“Indoor venue available” is not enough. Ask whether it is reserved for you, whether it fits your event and what relocating the setup would cost.
6. Upgrades Added After Approval
Extra floral installations, a larger stage, another live food counter or a longer photography shift should have a written price before approval.
Nominate one family decision-maker and maintain an additions list. This makes the final account easier to understand.
7. Service Hours and Event Conditions
Confirm the permitted timetable with the property and suppliers. Ask which approvals or arrangements are required for the activities you intend to include.
Keep responsibility for these items in the proposal. Avoid assuming that a hotel package automatically covers every planned activity.
Choose the Destination Through the Guest Journey
The photographs help you fall in love with a place. The journey helps you decide whether it works for your wedding.
Compare shortlisted properties using:
- Travel from your guests’ actual departure cities
- The final transfer from the airport or station
- Availability of suitable rooms within your budget
- Access between bedrooms and function spaces
- Indoor alternatives for outdoor plans
- Time needed for ceremonies at a separate location
- Practical arrangements for older guests, children and anyone requesting assistance

Does a Hotel Buyout Mean Complete Privacy?
Ask the property to define a buyout.
Confirm whether the agreement covers all rooms, restaurants, lawns, the pool, day visitors and any separate event bookings. Identify the spaces you can use exclusively and the hours that exclusivity applies.
Blocking every bedroom and reserving every public area are different contractual arrangements.
Give the Celebration Room to Breathe
It is tempting to fill every hour because everyone has travelled to be there. A thoughtful schedule also leaves room for conversations, outfit changes and rest.
For a two-night celebration, this sequence can provide a starting point:
| Day | Suggested flow | Planning detail |
|---|---|---|
| Arrival day | Check-in, refreshments and a welcome evening or sangeet | Allow for travel delays before the main programme |
| Main celebration day | Breakfast, agreed daytime rituals, rest and the main wedding celebration | Protect dressing time and any ceremony transfers |
| Departure day | Breakfast, farewells and staggered departures | Match transport to actual guest schedules |
Adapt the sequence to your traditions and confirmed ceremony timings. If an Anand Karaj or another ceremony takes place at a separate religious venue, agree arrangements with that institution before finalising the hotel programme.
Give every function its own attendance count, venue, meal service and setup window. That schedule becomes the foundation of an accurate package quotation.
How to Keep the Budget Focused
Good budget decisions begin before the booking amount is paid.
Choose three priorities. Invest in the moments you will remember most and keep the remaining design consistent with them.
Compare total costs across acceptable dates. A lower room rate may come with different venue availability, travel costs or weather considerations.
Reduce unnecessary guest movement. Staying at one suitable property can simplify the schedule, although its total cost should still be compared with alternatives.
Choose food thoughtfully. Agree a manageable menu and service plan around your guests’ preferences rather than adding counters without a purpose.
Approve designs after confirming spaces. Venue changes can create redesign and installation costs.
Keep a separate payment calendar. Record deposits, later instalments, final guest-count deadlines and remaining amounts. A budget tells you the total; the calendar tells you when funds are needed.
Before You Confirm: A Short Booking Checklist
- Dates, nights, rooms and function counts match the brief
- Accommodation categories and occupancy rules are recorded
- Each meal has a menu, timing and guest count
- Every function has a named space and access window
- Décor and production have a defined scope
- Weather backup is reserved and workable
- Guest transfers and hospitality responsibilities are assigned
- Inclusions, exclusions and unresolved items are clearly separated
- Taxes and other charges are shown
- Payment milestones and change-approval procedures are documented
- Cancellation, postponement and guest-reduction terms are understood
- The family and suppliers have named points of contact
Review the proposal as a complete celebration. Rooms, food, décor and schedules need to work together.

Frequently Asked Questions
Are destination wedding packages in India all-inclusive?
Only the written proposal establishes what is included. Ask for separate confirmation of rooms, meals, function spaces, décor, production, planning, transport, photography, entertainment and taxes.
How much does a destination wedding package for 100 guests cost?
It depends on the dates, property, room nights, functions and service scope. The ₹31.90 lakh example in this guide is a hypothetical comparison before taxes, not a minimum price, market average or bookable package.
How many rooms do we need for 100 wedding guests?
If all 100 guests stay overnight and share as 50 agreed pairs, you need 50 guest rooms per night. Single occupancy, family arrangements, the couple’s accommodation and crew can change that requirement. Build a household-level rooming list.
Does the hotel’s wedding coordinator replace a wedding planner?
Compare their written responsibilities. A hotel coordinator may focus on the property’s services, while a separately appointed planner may cover wider supplier, design, guest and schedule coordination. Assign each task to a named person.
Who pays for accommodation at a destination wedding?
Decide what the hosts will cover and communicate it before guests commit to travel. Be clear about included nights, room categories, extensions and personal expenses. Your proposal should reflect those decisions.
Is it cheaper to have fewer wedding guests?
Some expenses, such as meals and required rooms, may fall when numbers decrease. Other costs, including agreed venue commitments, production or photography coverage, may change little. Request a revised complete budget.
Can we book our own photographer or decorator?
Ask the venue and planner about outside suppliers, approval requirements, access conditions and additional charges before appointing anyone. Record coordination responsibilities in the scope.
When should we begin enquiring?
Start once you can share a likely date range, guest count and spending limit. Allow time to compare proposals, visit shortlisted properties and agree family priorities. Confirm date availability before making related commitments.
Can Events Cookie help if the venue is already booked?
Yes. Share the signed venue scope and the services already arranged. Events Cookie can discuss the remaining planning, design, hospitality and execution requirements.
Budget and Booking Note
The financial example in this article uses assumed figures to explain proposal comparison. It is not a vendor quotation or an Events Cookie package. Actual prices, inclusions, availability, taxes and booking conditions require written confirmation for your dates and requirements.
